With your purchase of transport or rental services, you agree to the following conditions:
All rental bike purchases are considered “As Is.” No refunds or exchanges. All sales final.
For fully-assembled transport, your bicycle or related equipment can be insured for the “Actual Cash Value” through our umbrella policies up to the amount that you indicate on your order. This can be purchased on www.racedaytransport.com and combined with your bike transport order. Any fully-assembled bike insurance coverage purchased through our transport services is transacted between the shipper (you) and our Cargo umbrella policies.
*Please note that our PacknShip services is separate and performed by United Parcel Service (UPS) and Federal Express (FedEx). Any service(s) performed through UPS or FedEx is with you (the customer) and UPS and/or FedEx. Raceday Transport and Raceday Shipping has no say in the performance outcome for services performed through UPS or FedEx and is not the “first party” shipper. Therefore, Raceday Transport and Raceday Shipping is not liable for for any damages or the outcome of insurance claims. All insurance claims submitted are between you (the customer), and UPS and/or FedEx insurance providers. Raceday Transport and Raceday Shipping has no authority over UPS or FedEx regarding their decisions based on shipment progress, delivery, or damage claims.
All PacknShip services through UPS or FedEx must have a hard-sided travel case, or, a NEW carboard bike box. If your cardboard bike box has been previously used, please do not use this to ship your bike as UPS or FedEx may deny your claim. Please use a new cardboard box to ship your bike.
Please note that insurance coverage is determined by “Actual Cash Value.”
Definition of “Actual Cash Value”
The amount equal to the replacement cost minus depreciation of a damaged or stolen property at the time of the loss. It is the actual value for which the property could be sold, which is always less than what it would cost to replace it.
*Insurance coverage for your items are to be used for catastrophic damage or stolen property and not for nicks, scratches, blems, tire rub, or other defects associated with the normal delivery process of your bike or race gear.
Once you sign for or receive your bike via custody of our trucks, personnel, bike shop partners, etc., you assume full responsibility for any damage discovered while it is out of our control.
Scratches, blems or tire rub – Raceday Transport and Raceday Shipping does not examine every inch of your bike or wheel set before, during, or after your event is complete. Our delivery process takes great care in the preparation and transport of your bike, but there are times when it is out of our control – for example, the transition area of a race/event, where it could come in contact with other bikes. It is for this reason that Raceday Transport and Raceday Shipping will not be responsible for scratches, blems, tire rub, or rim rub or scuffs that may occur to your bike during the normal delivery process (start to finish) of your shipment.
Bike damage or complete loss – Claims for damage or replacement must be more than $250 to initiate claims. Raceday Transport, nor its subsidiaries or umbrella policies, are responsible for loss or damage under $250.
Wheel Bags (not attached to bike) or Gear Bags – Raceday Transport and Raceday Shipping does not open or inspect the contents of any gear bags or wheel bags at any time. Should the customer wish to transport their bagged (not attached to bike) wheel set, or gear bag(s), these items are not covered under the Declared Value coverage or any insurance coverage at any time. All gear bags or wheel bags that are submitted for transport by the customer to Raceday Transport or Raceday Shipping is done so with full knowledge that these items are not eligible for insurance coverage and will not be compensated in the event of loss.
*Important- Once Raceday Transport delivers bicycles and related equipment to the event, it is the event promoters responsibility to provide security and the proper check in/check out procedures to ensure the safety of the bicycles and equipment. The event promoters assume all responsibility all all bikes and related equipment once they have been delivered to the event.
If Raceday Transport plans to receive and assume custody and control of operations (including security, oversight, etc.), then Raceday Transport assumes responsibility of the safety and security of athletes bikes. Q. What is declared value? Is it insurance?
- Declared value is not insurance coverage. The declared value of a package represents UPS’s maximum liability for the package in the case of loss or damage. If no value is declared, UPS’s maximum liability for loss or damage to a package or international shipment is US$100 (or the equivalent in local currency).
Shippers sending goods with values exceeding US$100 can choose to declare a higher value for the goods, up to certain maximum amounts and subject to restrictions, by paying an additional charge.
UPS or FedEx is not liable for loss or damage to a package that is not properly packed to withstand the series of movements through the small package environment (as described in the UPS Tariff/Terms and Conditions of Service (see Section on Responsibility for Loss or Damage). In such a case, even if the shipper declares a value for the package in excess of $100, UPS will not reimburse the shipper for the damage to the package. (Read these tips on how to properly pack a package.)
*Important – Any claims associated with UPS are between customer and UPS only. Raceday Transport is not responsible for the insurance protocol instituted by and through United Parcel Service (UPS). UPS makes the final determination on all claims and Raceday Transport has no say in the matter whatsoever. The Claims Process through UPS can last until they are satisfied that the bike was properly padded and packed, the box was in good condition, and that any damage was not old.
UPS, at it’s discretion, sends out all pictures, frames, wheels, components, bike boxes, etc. for secondary review – and this process usually takes 45-90 days.
If the damage is determined that it was caused by UPS or FedEx, either of those carriers will repair or replace items based on the actual cash value. UPS will not pay for secondary items, rental equipment, lost income, lost event registrations or anything value related to the downtime of the bike before, during, or after their review or process.
Limits on declared value and restrictions on UPS’s liability (including for packages not adequately packaged as described in more detail below) are described in theUPS Tariff/Terms and Conditions of Service, available at ups.com. For non-U.S.-origin shipments, please refer to the UPS Terms and Conditions of the origin country.
- Who determines whether a package was properly or adequately packed?
- UPS and FedEx uses a third-party vendor to manage the claims process for packages with values declared in excess of $100. This vendor adheres to the small package carrier industry standard ISTA 3-A packaging guidelinesfor analyzing the integrity of packaging and associated materials.
Cancellation and Refund Policy:
Raceday Transport will honor 50% of the purchase price to its customers who cancel their bike transport and notify us in writing outside a minimum of 31 days advance notice prior to the first day of their scheduled event.
No refunds will be provided for cancellations received within 30-Days of the event. For overseas or international transport, there is are no refunds provided due to Carnet and Customs regulations.
Other considerations may be made in the event of special circumstances – such as a transport deferral to a future U.S. domestic event. No refunds will be available for International transport due to Carnet restrictions and penalties. Refunds will be made via credit to your charge card, or in the form of a business check and delivered via the US Postal Service. Refunds through the US Postal service require approximately 30 business days to process and deliver.
All notices from Raceday Transport to You may be posted on our Web site and will be deemed delivered within thirty (30) days after posting. Notices from You to Raceday Transport shall be made either by e-mail, sent to the address we provide on our Web site, or first class mail to our address at:

Terms and Conditions
By purchasing transport, or having someone purchase transport of your bike and equipment on your behalf, you agree to the following conditions:
I understand that Raceday Transport, and/or those authorized by Raceday Transport, will be taking photographs and making audio and video recordings of their events. I hereby irrevocably consent to and grant Raceday Transport, and/or anyone authorized by Raceday Transport, the exclusive right to the ownership and use of (i) any and all photographs taken by Raceday Transport, and/or those authorized by Raceday Transport, that contain my person, image or likeness; (ii) any and all audio recordings made by Raceday Transport, and/or anyone authorized by Raceday Transport, that contain my person, name or voice; and/or (iii) any and all video recordings made by Raceday Transport, and/or anyone authorized by Raceday Transport, that contain my person, image, likeness, name or voice; for any lawful purpose whatsoever in connection with Raceday Transport and its related events, including the posting of any operational reviews or testimonials.
By clicking your purchase, you hereby state that you are eighteen years of age or older.
To ensure timely delivery of your bike and gear, our transport service consists of four (4) separate pick-up and delivery components as outlined below:
1.Raceday Transport will arrange bike and/or gear pick-up at a contracted bike partner shops, or, through concierge service whereby Raceday Transport arranges bike and/or gear pick-up at the location of customer’s convenience (within a reasonable geographic location of customer’s home address).
2.Raceday Transport arrives at race event and provides a central pick-up location. Customer is required to provide ID, sign for, and pick-up their bike and/or gear before race event.
3.Customer is required to drop-off their bike and/or gear by 12pm (noon) the following day of event.
4.Raceday Transport will arrange bike and/or gear drop-off at contracted bike partner shops, or, through concierge service whereby Raceday Transport arranges bike and/or gear drop-off at the location of customer’s convenience (within a reasonable geographic location of customer’s home address).
Before Event: You are responsible for delivering your bicycle to a local contracted bike shop in such a manner that it will arrive before the designated time or deadline stated by Raceday Transport for your respective race. If concierge service is selected, customer must be at the pick-up or drop-off location(s) as indicated within the designated timeframes. You also understand that if your bike and gear arrives later than the designated deadline, Raceday Transport will not be responsible for getting your bike and/or gear to the race event, and as a result, your transportation reservation will be cancelled. Please see our cancellation fees.
After Event: You are responsible for picking up your bicycle at the contracted bike shop within a reasonable timeframe after your event (3-7 days). These bike shops are very small and have limited storage, so please make every effort to pick up your bike as soon as possible.
At the Event, Before and After Race: You understand that before and after your race event, you are responsible for picking up and dropping off your bike and/or gear at the chosen Central location within the designated time periods. If your bike and/or gear are not picked up and/or dropped off by the designated deadline, Raceday Transport will not be responsible for any loss incurred by you and no refunds will be made.
There are specific chain of custody responsibilites for: the customer; the bike drop location (bike or multi-sport shop; and Raceday Transport. Each is responsible for any damage or theft while the bike and/or race gear is under their control. Signatures are required for each chain of custody and any missed signatures default to the previous chain-of-custody transfer. Raceday Transport and Bike drop locations will not be responsible for small blems or normal wear and tear during delivery. This includes wheelset sticker wrinkles due to heat and any and all sticker related items.
*Transition Area Pickup-If you choose to have Raceday Transport collect your bike and/or race gear at your event (bike and/or gear bag pickup option), you hereby waive Raceday Transport of any damages or missing items that may occur during your event. There are numerous items that become mixed up during an event, and the athlete should attempt to bag their items before leaving transition.
Your signature acknowledging these Terms and Conditions, or esignature of these Terms and Conditions on Racedaytransport.com, will constitute your agreement, on behalf of yourself and any entity or entities that you may represent, to all of the terms and conditions provided herein. Raceday Transport reserves the right to make changes or modifications to such terms and conditions at any time without notice and your subsequent viewing or use of the Raceday Transport website will constitute your agreement to any changes and modifications. There may be additional terms and conditions provided throughout the Raceday Transport website governing your use of particular functions, features, information and applications available through racedaytransport.com. The Terms and Conditions contained in this Raceday Transport Terms and Conditions supersede all previous Terms and Conditions, amendments, supplements, and other prior statements concerning the transportation rates and conditions of ?Raceday Transport’ service to which these Terms and Conditions apply. Raceday Transport reserves the right to unilaterally modify, amend, change, or supplement the Raceday Transport Terms and Conditions including, but not limited to, transportation rates, insurance coverage, services, pick-up locations, drop-off locations, destinations, and features of service without and Canada. These shops are primarily utilized as a pick-up and drop-off location for an athlete’s bike and race gear prior and post event. Raceday Transport assumes that these multi-sport shops carry the proper liability insurance to ensure that each customer bike and race gear will be properly insured and protected while the bike and gear is under their control. Each multi-sport shop is required to agree to these conditions at all times. SHOULD a multi-sport shop elect to drop their insurance coverage or discontinue their relationship as a multi-sport partner, Raceday Transport will locate another multi-sport partner in the regional vicinity. Raceday Transport requires up to forty-five (45) days to organize the procedure and paperwork for each new multi-sport partner. Customer acknowledges that in the event that a multi-sport partner discontinues its relationship with Raceday Transport prior to their scheduled event, customer may: a) Elect a full refund or b) Elect to drop their bike and gear off at the next closest Raceday Transport multi-sport partner.
The language provided herein contains the Raceday Transport Terms and Conditions applicable to the transportation of bicycles and/or bike gear and all other items and services by Raceday Transport.
*For Box & Ship Services – you are responsible for supplying the correct shipping information (Bike Box dimensions; size and weight of bike/box), upon the Raceday Box & Ship form and contact form before your shipment is processed and labels are drafted. If your bike box dimensions and/or weight of bike and box are above what you are stating – you (the customer) are responsible for all overages and extra charges owed to Raceday Transport and its affiliates. All overages and extra charges are immediately due upon demand.
You the customer are responsible for ensuring that your package or transport was purchased (web receipt). Raceday Transport and each of it’s services (Rentals, Shipping, Event Services), is not responsible for any services without a purchase receipt.
You must comply with all applicable local, state, federal, and international laws, including those governing shipping, transporting, packing, marking and labeling for all items being shipped for you by Raceday Transport.
Raceday Transport utilizes multi-sport shops for the convenience of customers who live or work in regional locations throughout the United States
All items must be prepared and packed by the sender for safe transportation in an express transportation environment with expected ordinary care in handling. Proper packaging must adequately protect all articles susceptible to damage as a result of conditions that may be encountered in an express transportation environment, such as normal handling, shifts in loads, stacking, changes in weather, temperature, humidity, or atmospheric pressure, etc.
Every bicycle, race bag, wheel bag, travel case, and piece of luggage must be legibly and durably marked or labeled with the name, address, zip code, home phone, and cell phone number of the sender (and recipient if different from the sender). The temporary zip-tie tag provided by Raceday Transport will be attached at your bike shop or a by a representative from Raceday Transport. Also, please place identification inside every bag being shipped.
All items must be packaged securely in your race bag, wheel bag, luggage, and travel case. Raceday Transport does NOT accept liability if it is determined that concealed damage was caused by items not being secured by the sender within the race bag, wheel bag, luggage, or travel case (i.e. bicycle components, wheels, helmets, eye/sun glasses, cycle computers, wetsuits, shoes, race suits, clothing, etc.).
Raceday Transport or its bike partners will NOT be held liable for pre-existing damage to any items. All items will be noted during each segment of transport.
Gear bags should be of size that would normally fit in the overhead compartment of a jet aircraft. If your gear bag is larger than this, please contact Raceday Transport for approval.
Do NOT send a race bag, wheel bag, luggage, or travel case that does not completely close. Please adequately secure the bag with luggage straps, zip-lock ties, or bungee cord to keep the bag completely closed. Raceday Transport will NOT be held liable for items lost or damaged because a bag opened during shipment. Raceday Transport reserves the right to use whatever means necessary to contain the contents of an open bag, or one that will not close.
Do NOT over-pack or over-stuff your race essentials bag, wheel bag, luggage, and/or travel case. Do NOT place items within a wheel bag other the wheels that the bag was meant to carry (other than padding meant to help protect the items during shipment). Raceday Transport shall NOT be held liable for the loss, damage, or delay of items not properly and securely or adequately packaged for transport. Do NOT use a wetsuit, race suit, shoes, or other essential items as padding. Use non-essential items, such as dry towels, foam, and bubble wrap, etc. for padding race wheels, helmets, and other valuable equipment.
All items must completely fit within the bag being shipped (this means wheel pumps, frame pumps, and helmets). Do not strap, fasten or otherwise secure to your race essentials bag, wheel bag, luggage, or travel case baggage any items.
The weight limit for all race bags, wheel bags, luggage, and travel cases is 25 pounds.
The size limit for all bags, luggage, and travel cases is approximately 24″x24″x18″.
Restricted items: If you have a questionable item, we recommend that you do NOT ship it. If this is an essential item, please contact Raceday Transport at 916.778.7473 or firstname.lastname@example.org for more information. Please allow 24 hours response time.
You are absolutely prohibited from tendering the following items for delivery, and these items will NOT be accepted:
Hazardous waste, including, but not limited to, used hypodermic needles, syringes, or other medical waste.
Radioactive materials of any kind.
Poisons of any kind.
Firearms or ammunitions of any kind.
Explosives: Dynamite, fireworks, signal flares, road flares, sparklers, etc.
Corrosives: acids, chlorine, solvents, etc.
Mace, tear gas or pepper spray, etc.
Flammables Liquids, Solids, or Gases: Fuel, methane, LNG, propane, etc., paints, cigarette lighters, lighter refills, steno, matches, propellant, phosphorus, etc.
Items that may cause delays or damage to equipment, personnel, or other Items being shipped.
Live animals, including dogs, cats, birds, reptiles, and fish, etc.
Animal carcasses, animal heads, and other parts for taxidermy may be accepted but must be properly packaged. This restriction also applies to packaged meat or poultry products intended for consumption.
Human corpses, body parts, or cremated or disinterred human remains, etc.
Items that require an international, federal, state, or local license for their transportation; i.e. alcohol, tobacco, gaming devices, etc.
Lottery tickets and gambling devices where prohibited by federal, state or local law.
Non-hazardous waste, including but not limited to trash, rubbish, unconsumed food and liquids, feces, and dirty diapers, etc.
Packages that are wet, and/or leaking or emit an odor of any kind. This includes bicycle water bottles, hydration systems, physically “wet” wet suits, open gel packages, etc.
Drugs (illicit, illegal and/or prescription drugs), or Pharmaceutical items.
Insects: alive or dead.
Perishable items such as floral or nursery stock, plant and floral displays and food items meant for immediate consumption, etc.
Household items: Bleach, spray starch, paint, insecticides, drain cleaners and solvents, etc.
Pressure containers: Spray cans, spray paint, butane, fuel (liquid, solid or gas), scuba tanks, propane tanks, and self-inflating rafts, etc.
Dirt, soil, potting soil, sand, gravel, fertilizer, or manure, etc.
Other Hazardous materials: Dry ice, gasoline-powered tools, wet-cell batteries, camping equipment with fuel, radioactive materials, poisons, infectious substances, etc.
Any other items that are prohibited by applicable local, state, federal, or international laws.. Notwithstanding any other provision of the Raceday Transport Terms and Conditions, we are not liable for delay of, loss of or damage to an item of any prohibited item(s).
Fragile items: The following items may be accepted by Raceday Transport for transportation purposes; however, under no circumstances will Raceday Transport provide insurance covering damage or cargo insurance on these items. These items, and the like, are classified as “Ship at your own risk”.
Electronics and mechanical items such as audio and video equipment, cameras, i-Pods, MP3 players, GPS devices, power taps, power meters, heart-rate monitors, sensitive calibrated tools and instruments, calculators, computers, cellular telephones, telescopes, microscopes, electrographs and medical equipment.
Raceday Transport is not responsbile for tires or tubular tires that pop or explode due to heat or overpressure during transport. It is the responsibility of the customer to ensure that pressure is exhaled before transport. Raceday Transport is not responsible for any damage caused by assistance in inflating tires before or after event.
Photographic, cinematographic, or Precision items such as oscilloscopes, telescopes, meters, and polygraphs
Toys such as dolls, dollhouses, model trains, airplanes, cars, and boats, or remote control devices.
Garment bags and suit/dress covers of light, flimsy plastic or vinyl designed for carrying inside bags that are more durable and not for shipping purposes.
Dentures and Retainers
Miscellaneous Items such as sample goods for resale, heirlooms, collectibles, precious metals and stones, souvenirs, gifts toolboxes, and irreplaceable item.
Essential clothing and other property, which is not properly packaged inside of race bags, wheel bags, luggage, or travel cases.
Pick-up and delivery:
Initial Pickup at contracted bike shops and/or other location(s):
Raceday Transport requires that you drop off your bike and/or gear and any other items that we are shipping for you at one of our contracted bike shops a minimum of twenty-four (24) hours before the scheduled pickup time. Please contact Raceday Transport for specifics regarding drop-off times and deadlines.
Raceday Transport does NOT provide repeat initial pickup attempts. If your bicycle or other items that we are shipping for you are not at the prescribed pickup location (contracted bike shop, or other location) prior to the proper pickup deadline, your items may NOT be delivered to your event. Customers who fail to drop-off their belongings prior to the deadline are NOT eligible for a refund.
If we determine that your bicycle, race essentials bag, or wheel bag was not at the pickup location as indicated on your service request form, we will attempt to call or email you in an effort to determine where these missing items are located. Other arrangements may have to be made to get these missing items to us; i.e., you may then have to deliver to a different drop-off location if time allows.

Initial delivery to your event:
When possible, Raceday Transport will be positioned at the event near the transition area or race-expo during packet pick-up times if we are partnered with the event director, or other entity. As with all vendors, the event director or other entity will determine if, where, and when we can set-up at their event.
If we are not partnered with the event director, and we are not allowed to setup on the event grounds, then other delivery arrangements will be made and you will be notified. A standard alternative would be for Raceday Transport to setup at the host hotel, motel, resort, or other location, which is convenient, and near as possible the race venue.
Another delivery option would be for Raceday Transport to deliver your bicycle and other items to the hotel, motel, or resort at which you are staying.
Raceday Transport or its carriers require photo identification of the person authorized to claim the bicycle and other items.
Return drop-off location after your event:
When possible, Raceday Transport will be positioned at the event near the transition area or race-expo during and after the event if we are partnered with the event director, or other entity. As with all vendors, the event director or other entity will determine if, where, and when we can setup at their event.
If we are not partnered with the event director and we are not allowed to setup on the event grounds, then other return pickup arrangements will be made and you will be notified. A standard alternative would be for Raceday Transport to setup at the host hotel, motel, resort, or other location, which is convenient, and near as possible the event venue.
Another drop-off option would be for Raceday Transport to retrieve your bicycle and other items at the hotel, motel, or resort at which you are staying. If you should have to leave your hotel, condo, or resort early (in order to catch a flight) before hand-delivering your bicycle and other items to Raceday Transport, make sure you leave instructions with the hotel, condo, resort, or another Raceday Transport customer that Raceday Transport is scheduled to pick up your items. Instruct them to store your bicycle and other items in a safe and secure location, which may be different from the initial delivery location. Please inform Raceday Transport ahead of time that you will be unable to hand-deliver your items to us and what instructions you have left and with whom. Please note that Raceday Transport will NOT be held liable for loss and/or damage of items left with non-partnered third parties.
An undeliverable item is one that cannot be delivered for reasons that include, but are not limited to, any of the following:
The recipient refuses to accept the delivery.
The recipient’s delivery address, hotel, condominium, or resort cannot be located.
The delivery was addressed to an area not served by the Raceday Transport.
The delivery’s contents or packaging is damaged to the point that delivery is not possible.
The delivery would likely cause damage or delay to other deliveries or property or injury to personnel or property.
The delivery contains prohibited items.
The recipient’s delivery address is closed, incorrect, or non-existent.
No appropriate person was available to accept the item at a delivery location on initial delivery attempt or reattempts.
The item(s) was improperly packaged.
Refusal or rejection of delivery:
Raceday Transport reserves the right to refuse, hold, or return any item and may do so in our sole discretion and without liability to us. We will execute that right in cases in which (but not limited to):
The item may cause damage or delay to other items, property or personnel,
The item is likely to sustain damage or loss in transit because of improper packaging or otherwise,
The item contains any prohibited items,
The account of the person or entity responsible for payment is not in good credit standing, or
When acceptance of the item may jeopardize our ability to provide service to other customers.
We believe that our services may be used in violation of international, federal, state or local laws.
Raceday Transport promises that every avenue will be exhausted to ensure that your bicycle and other items are picked-up and delivered to your event on time. In the event that your bicycle and other items are not picked up or delivered on time, reasonable efforts will be made to ensure the item(s) are returned to you as soon as possible. Returning your items may take longer on international deliveries due to Customs and Immigration procedures. We sincerely apologize in advance for any inconvenience you may experience should your items be delayed. Such isolated incidents are not typical of Raceday Transports’ high standard of service.
In the event of a delayed pick up, the customer can expect the following:
In the event that a pickup deadline was missed, the next available pickup will be scheduled.
The customer may have to make other arrangements to have their items picked up at a different location.
If it is deemed that the missed or late pickup was due to the negligence of the customer (i.e., the customer missed the deadline for the scheduled pickup deadline for pickup of items by shipper) then additional fees from changes being made to an order involving that pickup will be passed on to the customer.
In order for a change made to a late or missed pickup to be free of charge, the late or missed pickup must be deemed to have been due to the negligence of Raceday Transport or its partners.
In the event of a delayed delivery, the customer can expect the following:
Raceday Transport assumes NO liability for delay, which may occur as direct or indirect acts of God, breakdown in transportation equipment, traffic or road construction delays, accidents, illness, riots, terrorism, strikes, or from any action, omission, or commission beyond the control of Raceday Transport. In these instances, it shall NOT be the responsibility of Raceday Transport to pay for resulting costs and expenses, including, but not limited to rental equipment, purchase of equipment and personal luggage contents.
Raceday Transport will be liable for personal property only for the period in which it is in the possession of Raceday Transport. Raceday Transport (or its partners) do not condone or assume liability or responsibility for property left unattended while waiting for pick-up by the carrier. Raceday Transport is NOT responsible for any equipment or bags after they are delivered to their final destination. Nor is Raceday Transport negligent for a delay of delivery, if the customer’s identification is not present on or with the items being shipped.
Raceday Transport is NOT negligent if items are delayed due to a designated contact person not being available for pick-up or delivery. Raceday Transport may not attempt to deliver multiple times before sending the item back to the sender, if this would cause delays with other deliveries. Arrangements can be made with Raceday Transport to reschedule deliveries to the same or different address (additional fees may apply). If no arrangements are made, and the gear is sent back, Raceday Transport is NOT responsible for rerouting delivery charges.
International deliveries: Raceday Transport will NOT be held liable for regulatory delays caused by Customs or Immigration inspections. Such delays are manifest and beyond the control of Raceday Transport. To complete international deliveries, Raceday Transport requires a copy of your passport, round-trip flight itinerary, race registration, and complete packing list of items being sent. Items must be personal effects sent to the foreign country for your personal and temporary use. Packages sent internationally may NOT be locked (this includes TSA locks), as customs may need to inspect. If packages are locked, this could cause delays.
Raceday Transport is NOT responsible for delays or damage to suitcases due to locked packages. Raceday Transport shall NOT be held liable for duties and surcharges arising from International Deliveries; all such fees shall be passed onto the customer. Raceday Transport will take every step possible to ensure that the proper paperwork is prepared and filed in order to prevent excessive and inappropriate duties and surcharges arriving from International Deliveries. For one-way transportation of a bag going to Canada, you are subject to pay duties and taxes unless you can provide proof that the bag exited the country (i.e.: tracking number or airline baggage tag). If this information is not immediately available at the time of duty and tax assessment, you will need to pay the fee and be refunded upon providing proof of re-export. Raceday Transport may charge duties and taxes (at the time of order booking or at a later date) for certain countries with a high occurrence of duties and taxes charges.
Rates and other charges:
Rates are available on the Raceday Transport website. These rates do not include international fees or taxes, and do not include contracted bike shops, hotel, motel, or resort fees if applicable. Final rates and service fees may vary based upon the delivery actually tendered and the application of these Terms and Conditions. Rates may change at any time without notice.
Weight or dimensions exceeding the Stated Limits of the Raceday Transport equipment list are subject to additional charges. Adjustments to your bill may occur retroactively after your order has been completed.
If a customer wishes to pick-up or drop-off items at a different location, Raceday Transport will not refund any part of the transaction.
Some multi-sport shops, bike shops, hotels, motels, and resorts may assess a handling fee for incoming and outgoing deliveries. Any handling fees assessed must be paid directly to the multi-sport shop, bike shop, hotel, motel, or resort by you and are separate from Raceday Transport charges and your Raceday Transport order. Raceday Transport recommends that you contact these locations to determine if any fees will be assessed to you.
Any conflict or inconsistency between the Raceday Transport Terms and Conditions and other written or oral statements or quotes concerning the rates, features of service, and terms and conditions applicable to Raceday Transport service will be controlled by the Raceday Transport Terms and Conditions, as modified, amended, changed or supplemented. We are NOT liable for, nor will any adjustment, refund, or credit of any kind be made, as a result of any discrepancy in any rate or service quote made prior to tender of the delivery and the rates, and other charges that we invoice to you.
Raceday Transport does not provide insurance for your bike or race gear. You at your sole discretion may decide additional insurance is necessary. This can be purchased on our website up to the requested limit of coverage ($5k max). Additional insurance may be available through other sources such as your homeowner’s insurance policy or other insurance agency. Please contact your insurance company or insurance agent to determine if your homeowner’s policy provides this type of coverage, or if you should purchase additional insurance. Guidelines are as follows but not limited to:
Cargo insurance coverage covers the physical loss or damage of your bicycle.
Cargo insurance does not cover loss of use or loss of income associated with the physical loss or damage of items.
Additional insurance coverage is not currently available through or from Raceday Transport.
Raceday Transport will insure provided the items are correctly described, properly packaged, correctly valued, and undamaged prior to shipping. Maximum liability is not automatic and damage or loss value must be proven to the insurance adjuster.
There is a $500 deductble on all insurance claims. You the customer are responsible for paying the $500 deductible on any claim submitted on your behalf.
Excess insurance is not available and may not be purchased for items excluded from our liability, such as jewelry, cash, computers, i-Pods, MP3 players, cameras, etc. Please see the “Fragile Items Liability” list above for details.
Accounting and Billing
Raceday Transport will accept cash, personal checks, business checks, Visa, MasterCard, Discover, and American Express. Raceday Transport requires payment at the time of reservation.
Credit Card Policy and Information:
Raceday Transport utilizes GoDaddy website and Intuit Payment Gateway to authorize credit card transactions. Raceday Transport subscribes to a Secure Server but the customer acknowledges that all transactions can not be 100% secure at all times. In the event of a credit card hacker disruption, Raceday Transport will attempt to limit all losses within its power. Raceday Transport will not be held liable for outside hacker disruptions. Customer acknowleges that the Internet can be an unsafe place to perform business.
Cancellation and Refund Policy:
Raceday Transport will honor 50% of the purchase price to its customers who cancel their bike transport, bike shipping, or bicycle/wheelset rentals and notify us in writing outside a minimum of 60 days advance notice of their scheduled event.
No refunds will be provided for cancellations received within 59-Days of the event.
Other considerations may be made in the event of special circumstances, such as deferring your purchase to a future Raceday Transport event. Refunds will be made via credit to your charge card, or in the form of a business check and delivered via the US Postal Service. Refunds through the US Postal service require approximately 30 business days to process and deliver.
In the event that Raceday Transport must cancel transportation to an event, at least 21 days’ notice will be given to all registered Raceday Transport customers. A full refund will be issued to the customer within 14 days of cancellation notice.
Guaranties and Warranties:
Raceday Transport provides NO guaranties or warranties. Raceday Transport shall NOT be held liable for items not properly packaged in race bags, wheel bags, luggage, or travel cases, nor shall Raceday Transport claim liability for the delivery of items found in the List of Fragile Items (see above). Raceday Transport assumes NO liability where it is found that items were not properly packaged in an adequate race bag, wheel bag, luggage, or travel case designed for a materially different good, not suited to the purpose of said bag, luggage, or travel case. Any failure by Raceday Transport to enforce or apply a term, condition or provision of the Terms and Conditions, does NOT constitute a waiver of that term, condition or provision and does not otherwise impair Raceday Transport’ right to enforce such term, condition or provision. Raceday Transport shall NOT be held liable for loss or damage to articles, which are strapped, fastened, or otherwise, secured to other baggage being transported and which are not independently tagged and/or packaged. Such items include but are not limited to, floor pumps, frame pumps, helmets, shoes, wet suits, race suits, clothing, hydration systems, bicycle components, etc.. Raceday Transport cannot be held liable for items that are stolen from the inside of bags that were not properly secured, or if the theft is reported to Raceday Transport more than 48 hours after delivery.

Raceday Transport shall NOT be held liable for minor damage arising from the normal wear and tear of transporting bicycles, race bags, wheel bags, luggage, or travel cases, etc. This includes but is not limited to minor cuts, dings, scratches, scuffs and dents, marring to the surface of said items by dust, dirt, adhesive, restraints, bicycle fork “quick release” clamps, bungee cord, snap-ties, or for items that protrude from the bags. If however, Raceday Transport deems that damage did take place beyond the normal wear and tear of an item, then the following stipulations apply: Raceday Transport will evaluate if a damaged item is 1) repairable, or 2) unrepairable. Decisions to repair or replace a damaged item are solely the prerogative of Raceday Transport, and Raceday Transport reserves the right at any time to inspect a damaged item.
Note, however, that:
Signed Receipt of the delivery by the recipient without written notice of damage on the receipt is prima facie evidence that the shipment was delivered in good condition.
Raceday Transport does NOT accept claims for damaged items that were not properly secured, packed, or padded within race bags, wheel bags, luggage, or travel cases.
Raceday Transport does NOT accept liability for damage that is caused to items secured attached to the outside of race bags, wheel bags, luggage, or travel cases.
Failure to comply with any of the following conditions will result in the denial of your claim.
We must receive notice of a claim due to damage (visible or concealed), delay, shortage, or failure within 48 hours of the scheduled delivery date. We must receive notice of all other claims, including, but not limited to, claims for non-delivery within seven calendar days after the scheduled delivery.
Notice of claims for which you are seeking more than $100 must be in writing. All claims must be made within the time limits set forth above.
Notice of claim may be submitted via email to email@example.com or via telephone 916-778-7473 with a live person. Failure to provide us with notice in the manner and within the time limits set forth in paragraphs (A) through (B) will result in denial of your claim, and we will have no liability or obligation to pay your claim. The filing of a lawsuit does not constitute compliance with these notice provisions.
Written documentation supporting the amount of your claim must be delivered to us within 30 calendar days after we receive your notice of a claim. Such documentation may include original purchase invoices, estimates, or invoices for repair, expense statements, appraisals or other records. These documents must be verifiable to our satisfaction.
Raceday Transport reserves the right to inspect a damaged item on the recipient’s premises as well as the right to retrieve the damaged item for inspection. The terms and conditions applicable to the original delivery (including any declared value) will govern the disposition of all claims in connection with the delivery, including any claim relative to the retrieval, inspection, or return of the package. When an item is picked up for inspection, a receipt for the damaged item will be provided if requested by the recipient. All of the original delivery cartons, packing and contents must be made available for our inspection and retained until the claim is concluded.
Receipt of the delivery by the recipient without written notice of damage on the air bill is prima facie evidence that the item was delivered in good condition.
Raceday Transport does not accept claims for lost or damaged clothing that are packed with the sporting equipment gear.
Raceday Transport does not accept liability for damage that is caused by items being improperly secured in a case.
Only one claim can be filed in connection with a delivery. Acceptance of payment of a claim shall extinguish any right to recover in connection with that delivery.
When we resolve a claim by paying any amount for an item, we reserve the right to pick up the item for salvage, and all rights, title to, and interest in the item shall vest with us.
Written claims must be sent (via U.S. Postal Service) to: Raceday Transport, P.O. Box 1815, Lincoln, CA 95648.
Any purchases made because of a late delivery must be returned to Raceday Transport for salvage. If items are not returned, Raceday Transport reserves the right to decline reimbursement.
Claims may be filed with Raceday Transport only.
2. Lost items: For deliveries which are lost while in Raceday Transport’ possession, claims must be submitted in writing no later than 10 business days after loss occurred.
3. Extent of liability: Raceday Transport, Inc. will NOT be held liable for any delay or damages to bicycles, bicycle components (attached or unattached), race wheels, bicycle equipment, personal luggage, travel cases, and other items, whether direct, incidental, special, or consequential, in excess of the value of an item, whether or not we knew or should have known that such damages might be incurred, including but not limited to loss of income or profits. Raceday Transport will NOT be liable for, nor will any adjustment, refund, or credit of any kind be given as a result of any loss, damage, delay, non-delivery, misinformation or any failure to provide information, except such as may result from our sole negligence. We will NOT be liable for, nor will any adjustment, refund or credit of any kind be given as a result of any loss, damage, delay, non-delivery, misinformation or failure to provide information caused by or resulting in whole or in part from:
1.The act, default or omission of any person or entity, other than Raceday Transport, including those of any local, state, federal government, or international agencies.
- Your violation of any of the terms and conditions contained in the Raceday Transport Terms and Conditions, as amended or supplemented, or on a signed receipt, including, but not limited to, the improper or insufficient packing, securing, marking and labeling of items, or use of an account not in good credit standing, or failure to give notices in the manner and time prescribed.
- Perils of air, water, and road, public enemies, criminal acts of any person(s) or entities, including, but not limited to, acts of terrorism, public authorities acting with actual or apparent authority, authority of law, local disputes, civil commotion, hazards incident to a state of war, local or national weather conditions, local or national disruptions in air, water, or ground transportation networks (as determined solely by us), strikes or anticipated strikes (of any entity, including, but not limited to, motor carriers, other carriers, vendors or suppliers), natural disasters (including but not limited to earthquakes, floods, hurricanes, tornadoes, wind, rain, and hail), conditions that present a danger to our personnel or equipment, and disruption or failure of communication and information systems (including, but not limited to, our systems).
- Our compliance with verbal or written delivery instructions from the sender, recipient, or persons claiming to represent the sender or recipient.
- Damage or loss of articles packaged and sealed by the sender or by person(s) acting at sender’s direction, provided the seal is unbroken at the time of delivery, the package retains its basic integrity, and the recipient accepts the delivery without noting the damage on the delivery record.
- Erasure of data from or the loss or irretrievably of data stored on magnetic tapes, files or other storage media, or erasure or damage of photographic images or soundtracks from exposed film.
7.Our inability to provide a copy of the delivery record or a copy of the signature obtained at delivery.
- Our failure to honor “package orientation” graphics (e.g., “UP” arrows, “THIS END UP” markings), “FRAGILE” labels or other special directions concerning packages, luggage, and travel cases.
- Your failure to send goods in packaging approved by us prior to delivery where such prior approval is recommended or required.
- Our failure to notify you of any delay, loss, or damage in connection with your delivery or any inaccuracy in such notice.
- Damage to briefcases, luggage, garment bags, aluminum cases, plastic cases or other items whose outer finish might be damaged by adhesive labels, soiling or marking.
- The sender’s failure to provide accurate delivery address information.
- Any package containing a prohibited item. (See “Prohibited Items.”)
- Our provision of advice, assistance or guidance on the appropriate packaging of items unless such advice, assistance or guidance has been approved in writing by Raceday Transport and the writing expressly accepts liability in the event of a damaged item.
- Failing to meet our delivery commitment for any deliveries with an incomplete or incorrect address. (See “Undeliverable Items.”)
- Damages indicated by any shock watch, tilt meter or temperature instruments.
- Deliveries released without obtaining a signature if a signature release is on file.
- Loss or damage to any package for which we have no record of receipt.
19 .Dangerous goods items that the sender did not properly declare, including proper documentation, markings, labels and packaging. Raceday Transport will not pay a claim on undeclared/hidden dangerous goods.
20.Damage or delay to Perishable items.
21.Previously damaged bicycle or sporting equipment and personal luggage.
22.Over-sized, overweight, non-secured, improperly, or over-packed bags.
- Damage or loss of protruding luggage parts such as wheels, straps, pockets, pull handles, hanger hooks, or other items attached to equipment and personal luggage and Manufacturer’s defects.
- Minor cuts, scratches, scuffs, dents, ding, and soil.
- Damage to Fragile items (antiques, heirlooms, i-Pods, radios, stereos, cameras, computers, etc.)
- Damage to Valuable items (photographic equipment, computers, VCRs and any other electronic equipment including software or components, video, jewelry, cash, documents, works of art, securities and negotiable papers, precious metals, or other similar valuable or irreplaceable items.
- Damage to soft cases, either the case or its contents.
Any failure by Raceday Transport to enforce or apply a term, condition or provision of the Raceday Transport Terms and Conditions does not constitute a waiver of that term, condition or provision and does not otherwise impair Raceday Transport’ right to enforce such term, condition or provision.
Raceday Transport, Inc. reserves the right to unilaterally modify, amend, change, or supplement these Terms and Conditions without notice.
You herby state that any coupon discounts utilized in your purchase were provided to you by a coach or tri-group that has registered with Raceday Transport. Any coupons that have been provided through a third-party other than a registered tri-group or coach must have the approval of Raceday Transport before purchase is finalized. Any coupon discounts deemed unauthorized will not be honored.
- Purchasing shipping services at Raceday Shipping acknowledges that you hereby authorize Raceday Shipping to charge your credit card for shipping to/from your event.
- You also authorize Raceday Shipping to charge your credit card for any return shipping charges should the recipient deny the package or if customs deny entry.
- International import duties, taxes, and charges are not included in the shipping cost. These charges are separate and due the recipient upon delivery.
- Your bike must be properly packaged for shipping. If you are uncertain of how to properly pack, please see our packing instructions PDF. - We strongly recommend that you purchase our Raceday Box & Ship “Go Kit” which will provide the proper packing materials to protect your bike and frame. The Go Kit contains coverlets, frame foam, bubble wrap, masking tape and fork crush protectors that can be used for multiple shipments and will be kept within your bike box. The cost for the Go Kit is $39 + Shipping. It’s a great way to protect your bike if you plan to Box & Ship to future road and cycling events.

Cancellation Policy for Rented Items: When a rental item is purchased and confirmed, Raceday Rentals pulls that item out of inventory and prepares it for the scheduled rental period. This will involve the assembly/disassembly and transport of the item. As a result, there are no refunds for cancelled rental items once a purchase is made.
Rental Items may require a Security Deposit of up to the item value at time of pick-up. Customer is responsible for all damage during their rental period.
WAIVER, RELEASE & INDEMNIFICATION
READ THIS DOCUMENT CAREFULLY AND IN ITS ENTIRETY BEFORE PROCEEDING WITH THIS RENTAL TRANSACTION. SHOULD YOU PROCEED, YOU ARE AGREEING WITH THESE TERMS. Its effect is to release Raceday Transport from which we rent (“Raceday Rentals”), a California company doing business as “Raceday Transport, Inc.,” and their respective managers, members, employees, agents, independent contractors, representatives, successors and assign (collectively, together with RACEDAY RENTALS and any bike partner shops, the “Released Parties”) from any liability resulting from your (or, if you are signing as the parent or legal guardian of a minor, the minor’s) participation in the activities described below and to waive all claims for damages or losses against RACEDAY RENTALS, partner Bike Shops and their respective employees which may arise from such activities even if they result from negligence. All references to “we” mean any person signing this document, on his or her own behalf and for all other persons on whose behalf the undersigned signs this document. We desire to utilize the bicycle rental services offered by and through the Raceday Transport/Raceday Rentals website, which website is owned and operated by RACEDAY TRANSPORT, and/or to rent a bicycle or utilize services from our Bike Partner Network (collectively, the “Network”). We understand that the waivers and releases contained in this Waiver, Release & Indemnification apply to all of the Released Parties. In consideration for permitting us to utilize the Services, and acknowledging that we voluntarily choose to utilize the Services, we agree as follows:
- We understand that this Waiver, Release & Indemnification applies to all bicycles and associated equipment rentals made through the use of the Services, including wheelsets, wetsuits, and to the Services themselves. We accept for use the bicycle and associated equipment (collectively, the “Rental Equipment”) identified on this form. We accept full responsibility for the care and use of the Rental Equipment and the Rental Equipment will be used only in a manner consistent with its intended purpose, within its inherent limitations, in accordance with all applicable laws. Rental Equipment and Services will be used only by the individuals signing this document and for the event that they are participating in. We understand that RACEDAY RENTALS is in no way responsible for the safety or quality of the Rental Equipment and assumes no liability for such. We further understand that RACEDAY RENTALS or affiliated parties assumes no liability and takes no responsibility for any damage that might occur through our use of the Services.
. We understand that bicycling can be a hazardous and dangerous activity and that bicycling, including the use of the Rental Equipment, involves a risk of serious bodily injury and death. We are familiar with the risks of bicycling, including, but not limited to, the risks of mechanical failure; equipment failure; inability to control the speed or direction of the bicycle; collisions with, among other things, people, animals, inanimate objects, natural object, other bicyclists, and automobiles; and negligence of the Released Parties. We understand the importance of bicycle safety equipment, including helmets, and have had the opportunity to purchase or rent the same. We assume all risks, whether known or unknown, and responsibility for any losses, costs or injuries incurred in connection with our use of the Services and/or the Rental Equipment, even if arising from or relating to the negligence of one or more of the Released Parties, except to the extent caused by the recklessness or intentional misconduct of one or more of the Released Parties.
- We forever release, discharge, and covenant and agree not to sue any of the Released Parties from all liability to any of us (whether for damage to persons or property) in any way arising from or relating to our use of the Services and/or the Rental Equipment, including any of our own negligence or breach of contract, except to the extent that such liability arises from a particular Released Party’s recklessness or intentional misconduct. We agree that if, despite our release, one of us or any person on our behalf makes any claim against any of the Released Parties falling within the scope of the release set forth in this Waiver, Release & Indemnification, we will indemnify and hold harmless all of the Released Parties from and against such claim and any associated litigation expenses, attorneys’ fees, losses, liabilities damages or other costs any of them may incur. Without limiting the foregoing, we agree that, if we are signing on behalf of a minor and, despite our release, the minor or any person on behalf of the minor makes any claim against any of the Released Parties falling within the scope of the release set forth in this Waiver, Release & Indemnification, we will indemnify and hold harmless all of the Released Parties from and against such claim and any associated litigation expenses, attorney’s fees, losses, liabilities damages or other costs any of them may incur. We agree that this Waiver, Release & Indemnification shall be effective and binding on our respective heirs, next of kin, executors, administrators and representatives in the event of death or incapacity.
- We agree that any disputes arising out of this Waiver, Release & Indemnification or otherwise involving any of us and any of the Released Parties shall be brought shall be brought exclusively in California, and we hereby consent to the jurisdiction of the United States District Court, Placer County. We further agree that the laws of the State of California shall govern the terms of this Waiver, Release & Indemnification and the relationship between the parties, including the rights, duties and obligations of each. We agree that this Waiver, Release & Indemnification is intended to be interpreted as broadly and expansively as permitted under the laws of California and that if any portion herein is held invalid, we agree that the remaining provisions shall continue in full legal force and effect.
We have read this Waiver, Release & Indemnification in its entirety, we understand its terms, and we enter into it knowingly, voluntarily and intentionally for the purpose of inducing Raceday Transport RACEDAY RENTALS to allow us to utilize the Services and Rental Equipment.
